Maintaining and processing membership renewals efficiently and effectively, can be significantly simplified using thankQ. Reminders are automatically generated enabling you to send them at the right time, and in the case of a gift membership, to the right person. If desired, these reminders can be ‘escalated’ and a second letter sent. Whenever contacts are mailed, thankQ applies the rules for ‘mailing preferences’ ensuring the communication is correctly addressed and sent in the prefered format (email, mail, etc.) ensuring you maximise the potential membership renewal opportunity in a sensitive manner.

newsletters

Newsletters are just one type of many standard mailings that you can set up in thankQ. With any such mailings, thankQ will ensure all relevant mailing preferences are applied. Therefore, for a given type of mailing such as a newsletter, each contact will receive the communication at the appropriate address, with the right salutation and via the right medium (e.g. e-mail, post, SMS, etc.) saving you costly mistakes in wasted postage or the embarrassment of wrongly addressed letters.

Where no preference is specified, the system will use the default address for each contact and notify you if there is no address recorded.

mailing & email

All mailings are processed using the Mail Manager module, transforming your mailing into much more than a list of labels from the database. The mailing is taken through a series of procedurally controlled steps (workflow), ensuring the contacts are loaded, configured, sorted and merged in a controlled way.

The interface provides you with the ability to carefully include or exclude specific groups or individual contacts. You can Mailsort or segment the data, before merging it to a choice of formats including Microsoft Word (for letters or labels), a text file, a database for a fulfilment house or straight to your e-mail application.

The use of the powerful ‘thank you rules’ built into thankQ enables you to build up personalised letters based on the specific attributes of contacts and their donation or mailing history.
